Terms and Conditions

(“Campus X”, “we”, “us”, “our”)
By enrolling in any Campus X programme, course, camp, workshop, trial class, or membership (“Programme”), the parent/guardian and student (“you”, “Customer”) agree to the following Terms & Conditions.
1. Eligibility & Enrolment
1.1 All students must be enrolled by a parent or legal guardian aged 18 or above.
1.2 By enrolling, the parent/guardian confirms that all information provided (including student details, age, health conditions, learning needs, and emergency contact details) is accurate and complete.
1.3 Campus X reserves the right to refuse enrolment or discontinue participation if:

the student’s behaviour poses safety risks to others,
-
the Programme is unsuitable for the student’s learning needs,
-
fees remain unpaid,
-
false or misleading information was provided.
2. Programme Schedule & Class Arrangements
2.1 Programme schedules, instructors, class format, and lesson content may be adjusted due to operational needs, staff availability, safety requirements, or unforeseen circumstances.
2.2 Campus X may merge, reschedule, or cancel a class if minimum enrolment is not met.
2.3 If a Programme includes hardware kits, robotics equipment, 3D printing components, or materials, these may vary depending on supply availability, without reducing the overall learning outcomes.
3. Payment Terms
3.1 Full payment must be completed before a student is confirmed for enrolment, unless otherwise agreed in writing.
3.2 Payment is accepted via:

Bank transfer
-
FPS
-
Credit card (if available)
-
Other methods as stated on the invoice
3.3 Bank transfer details (if applicable) will be stated on the invoice. Any bank charges must be borne by the Customer.
3.4 Enrolment is confirmed only when payment is received in full.
4. Invoice Due Date & Late Payment
4.1 All invoices are due within 14 calendar days from the invoice date unless otherwise stated.
4.2 If payment is not received by the due date, Campus X reserves the right to:
-
suspend the student’s participation,
-
withdraw the student’s enrolment,
-
release the seat to other students.
4.3 Campus X may charge a late fee of 1% per month on overdue amounts (or the maximum permitted by law), calculated daily.
5. Refund Policy (General)
5.1 All fees are non-refundable once enrolment is confirmed, unless otherwise stated in writing.
5.2 Refunds are not provided for:
-
student absence,
-
schedule conflicts,
-
holidays, travel plans, or personal reasons,
-
dissatisfaction after participation has started.
5.3 If the Customer withdraws after payment, no refund will be provided.
6. Rescheduling & Make-Up Lessons
6.1 Make-up lessons are not guaranteed and are subject to availability.
6.2 If a student is unable to attend a scheduled class, the parent/guardian must notify Campus X at least 24 hours in advance (or 1 working day in advance) via an official communication channel (e.g. WhatsApp, email, or WeChat).
6.3 If the parent/guardian fails to notify Campus X within the required notice period, the lesson will be treated as absent without notice, and no make-up lesson, credit, or refund will be provided.
6.4 If sufficient notice is provided, Campus X may (at its discretion) offer one of the following arrangements:
-
a make-up session,
-
joining another class,
-
access to relevant online materials,
subject to instructor capacity and class availability.
6.5 Any approved make-up session must be completed within the same term / programme period, unless otherwise agreed in writing.
7. Cancellation or Rescheduling by Campus X
7.1 Campus X may reschedule or cancel classes due to:
-
instructor illness,
-
extreme weather conditions,
-
venue issues,
-
safety risks,
-
other circumstances beyond reasonable control.
7.2 If Campus X cancels a class permanently without replacement, we will provide either:
-
a replacement class, or
-
a pro-rated credit, or
-
a refund for the cancelled portion only.
8. Medical Conditions & Special Educational Needs (SEN)
8.1 Parents/guardians must disclose any relevant medical conditions, allergies, behavioural needs, SEN requirements, or learning difficulties before the Programme begins.
8.2 Campus X is not responsible for any incidents caused by undisclosed medical conditions or behavioural risks.
8.3 Campus X may recommend withdrawal or alternative programme arrangements if the student requires support beyond our capacity.
9. Safety & Student Conduct
9.1 Students must follow instructor instructions at all times, especially during:
-
robotics assembly,
-
tool usage,
-
3D printing activities,
-
electronics and battery handling.
9.2 Campus X reserves the right to remove a student from a class immediately if they:
-
endanger themselves or others,
-
repeatedly disrupt learning,
-
damage equipment intentionally,
-
behave aggressively or disrespectfully.
9.3 Removal due to misconduct will not result in any refund.
10. Equipment, Hardware Kits & Property Damage
10.1 Certain Programmes include robotics kits, tools, laptops, sensors, components, and other equipment (“Equipment”).
10.2 Students must handle all Equipment responsibly.
10.3 Campus X may charge repair or replacement costs if damage is caused by misuse, negligence, or intentional behaviour.
10.4 Hardware kits purchased by customers may have separate warranty or usage policies depending on the supplier or manufacturer.
11. Intellectual Property (IP) & Learning Materials
11.1 All course content, lesson plans, worksheets, slides, designs, videos, teaching methods, and internal curriculum frameworks are the intellectual property of Campus X.
11.2 Customers may not:

copy,
-
reproduce,
-
distribute,
-
resell,
-
publish,
-
record or broadcast,
any materials without written permission.
11.3 Parents and students may use materials only for personal learning purposes.
12. Photography, Video & Marketing Consent
12.1 Campus X may take photographs or videos during lessons, events, camps, or demo days for documentation and marketing purposes.
12.2 By enrolling, the Customer grants Campus X the right to use such media for:
-
social media,
-
website content,
-
brochures,
-
internal training,
-
promotional campaigns,
unless the parent/guardian explicitly opts out in writing.
12.3 If you wish to opt out, you must notify Campus X in writing before the Programme starts.
13. Data Privacy & Personal Information
13.1 Campus X collects personal information for enrolment, programme delivery, safety management, and communication.
13.2 We will not sell customer data to third parties.
13.3 We may share relevant student information with instructors, staff, and service providers only where necessary for operational delivery.
13.4 Customers may request access, correction, or deletion of personal data subject to applicable privacy laws.
14. Liability Disclaimer
14.1 Participation in hands-on engineering and robotics activities carries inherent risks.
14.2 Campus X will take reasonable safety precautions, but we are not liable for:

minor injuries,
-
accidents due to student behaviour,
-
loss of personal belongings,
-
third-party actions.
14.3 Customers agree that Campus X’s maximum liability shall not exceed the total amount of fees paid for the relevant Programme.
15. Force Majeure
15.1 Campus X is not responsible for delays, cancellations, or inability to deliver services due to events beyond our reasonable control, including but not limited to:
-
typhoons, severe weather,
-
government restrictions,
-
pandemics,
-
strikes,
-
power outages,
-
supply chain disruption.
16. Communication & Notices
16.1 Official communications may be sent via:

WhatsApp
-
email
-
SMS
-
WeChat / WeCom
-
other channels used by Campus X
16.2 It is the Customer’s responsibility to ensure contact details remain valid and reachable.
17. Governing Law
17.1 These Terms & Conditions shall be governed by and interpreted under the laws of the Hong Kong SAR.
17.2 Any disputes shall be subject to the exclusive jurisdiction of the courts of Hong Kong.
18. Updates to Terms & Conditions
18.1 Campus X may update these Terms & Conditions from time to time.
18.2 The latest version posted on our website shall prevail.
